FACTS

The Madeira School utilizes FACTS Management Company to manage its billing and payment system for tuition and incidental fees. FACTS serves more than 3 million students and families at over 11,500 schools and manages over $9 billion in tuition funds each year. They have been in business since 1986 and specialize in working with schools like ours.

FACTS benefits include:

  • Online access to view account billing and payment activity from any device
  • Payment reminders via email or text message
  • Many payment methods: auto bank debit, credit or debit card, online, over the phone, and by check
  • 24/7 in-house customer service

Once enrolled, each family is required to set up a FACTS account. All payments of tuition and incidental fees are collected by FACTS.

FAQs

Will I need to re-enroll in FACTS every year?

No. You will be automatically reenrolled for the next school year. 

When will funds be withdrawn from my bank account?

While FACTS transacts each payment on the specified date you indicated when you initially set up your account, it is your financial institution that determines the time of day the payment is debited. If a payment date falls on a weekend or banking holiday, the payment will be transacted the next business day.

When will payments begin?

Once your agreement for tuition payment is posted to the FACTS system, you will receive a confirmation notification by email or letter of your payment amount, balance due, and date your payments begin. Payment will be processed until the total balance is paid in full.

What happens if a payment is returned?

You will receive a notice from FACTS with instructions on how the missed or returned payment will be handled. You may also be assessed a $30 returned-payment fee for each attempt that is returned, but only if the return is because of non-sufficient funds.

How will I pay for other “incidental” expenses at the school?

Additional invoices for incidental fees like bus transportation, health insurance, AP & PSAT tests, equestrian stable and show fees, and chaperone fees will be processed through FACTS. You will be notified by FACTS when these occur.

What if another party is going to pay the tuition?

You can add an authorized party to submit payments. Once added by you, the authorized party will receive an invite from FACTS to set up their own secure login so they are able to make their own payments. You can also have the third-party paying send payment directly to the school. They should make their check payable to The Madeira School and mail it to The Madeira School, Attn: Business Office, 8328 Georgetown Pike, McLean, VA 22102.

If payments are made automatically from my bank account or processed to my credit card, does that mean FACTS or the school has direct access to my account?

No. No one other than you and your financial institution has access to your account. When you set up automatic payments, you are solely authorizing an automatic payment.

Is my information secure?

How can I change my payment date or amount once my agreement is on the FACTS system?

Any changes to payment dates or amounts may need to be approved by the school and the school will then need to notify FACTS. All changes must be received by FACTS at least two (2) business days prior to the automatic payment date in order to affect the upcoming payment.

How do I make changes to my demographic or financial information?

Changes to your address, phone number, email address, or banking information can be made at https://online.factsmgt.com or call FACTS. Any changes to payment dates or amounts need to be approved by the school and the school will then need to notify FACTS. All changes must be received by FACTS at least two (2) business days prior to the automatic payment date in order to affect the upcoming payment.

What is the cost to setup an account?

There is no fee to setup an account unless you are making tuition payments on the monthly payment plan. The nonrefundable FACTS enrollment fee will be automatically processed within 14 days of the agreement being posted to the FACTS system.
